Vendor Shipping Guide: Setting Up USPS Rates

The USPS is the most reliable and affordable shipping partner for our small Jemez businesses. Our goal is to ensure you move past expensive “Retail Rates” (paid at the Post Office counter) and instantly access the discounted Commercial Rates that boost your margins.

Step 1: Accessing Commercial Rates

You must never pay the Retail Price at the post office if you are running an e-commerce business. Commercial Rates offer savings of 10% to over 30% depending on the service.

To get Commercial Rates, you must integrate with a USPS-approved shipping platform.

  • Shipping Integrations: Use tools like Shippo, PirateShip, or Stamps.com. These platforms automatically provide you with the discounted Commercial Rates (sometimes called “Commercial Base Pricing”) as soon as you sign up.
  • E-Commerce Platform Integrations: If you sell through a platform like Shopify, Etsy, or eBay, they often provide these discounted rates directly within their checkout/label printing tools. (Future Feature)

Step 2: Choosing Your Core Services

For almost all craftsmen and growers in the Jemez area, your shipping needs can be covered by three main USPS services.

1. USPS Ground Advantage (New Standard)

  • What it is: The consolidated service (replacing First-Class Package Service and Retail Ground). This is your reliable, cost-effective default.
  • Best For: All packages up to 70 lbs. (especially crucial for items under 1 lb, like my jewelry hearts, which get the best rate here).
  • Delivery Time: 2–5 business days.
  • Key Advantage: Includes $100 of insurance and tracking at no extra cost. No fuel or residential surcharges (unlike UPS/FedEx).
  • Pricing Setup: Price is based on weight and zone (distance). Your e-commerce platform needs the package weight/dimensions to calculate this accurately.

2. Priority Mail (Speed & Value)

  • What it is: A faster service for packages up to 70 lbs.
  • Best For: Time-sensitive gifts, items that need more security, or packages that need higher insurance (up to $5,000 can be purchased).
  • Delivery Time: 1–3 business days.
  • Key Advantage: Uses free USPS packaging (Flat Rate Boxes and Envelopes) if you choose the Flat Rate option.

3. Priority Mail Flat Rate (The Simplest Option)

  • What it is: A specific Priority Mail option where the price is determined only by the box size, not by weight or distance (zone).
  • Best For: Heavy items (like pottery or large jams) that fit easily into a USPS Flat Rate box. If an item is heavy, this is almost always cheaper than shipping by weight.
  • Pricing Setup: Simple, fixed cost. For example, the Padded Flat Rate Envelope is an excellent choice for clothing, books, or multiple small items.
Flat Rate Box ExampleCommercial Rate (Approx. 2025)
Padded Flat Rate Envelope~$9.35–$10.30
Medium Flat Rate Box~$17.50–$19.60
Large Flat Rate Box~$23.50–$28.70

Step 3: Setting Up Your Rates on JemezVillage.com

Since our local directory links to various independent vendor storefronts, you must ensure your chosen rate strategy is set up correctly.

  1. Determine Package Profiles: Create a handful of common “package profiles” for your goods.
    • Example: Jewelry: 4″x4″x2″ box, 4 oz.
    • Example: Large Pottery: 10″x10″x8″ box, 8 lbs.
  2. Use Calculated Table Rates (Recommended): The most accurate and professional methodand allows the customer at checkout to see real-time USPS Commercial Pricing based on their ZIP code, the item’s weight, and your Jemez Area ZIP code (the origin).
  3. Use Flat Rate Shipping (Simplified): If you sell only heavy items that always fit in a flat rate box (e.g., you only sell large, heavy candles), simply charge a fixed Flat Rate Box price ($19.20) to all customers and use the flat rate packaging.
  4. The “Free Shipping” Strategy: For lighter goods like my jewelry, consider raising the product price slightly and offering “Free Shipping.” This is the highest-converting strategy and simplifies the customer’s decision, especially for smaller items eligible for the best USPS Ground Advantage rates.

Step 1: Open Shipping Zones

You must start by navigating to the Vendor Shipping Settings: My Account > Vendor Dashboard > Settings > Shipping.

  • The Jemez Area zone covers local ZIP codes and is perfect for a combination of Local Delivery and fast local shipping.
  • The New Mexico Vendor zone covers the state of New Mexico and is perfect for state wide shipping options.
  • The United States zone covers the rest of the United States outside of New Mexico.

No options outside of United States is available. If you want to ship outside of the United States please contact us.

Step 2: Configure the Zones

The zones currently show “No method found”. This is to prevent shipping outside of the Jemez Area unless the vendor wants to provide shipping outside the area. Setting up each zone is essential for shipping, and we need to add a shipping method to make it usable.

  1. Click Edit next to the zone you wish to edit.
  2. Click Add Shipping Method and choose an option (Table Rate for USPS).

  13. Enter per item, per lbs, %, or per label: Enter the costs per shipping rate line, for USPS Ground Advantage leave blank for for 0-1 lbs, enter $1.80 for LBS Cost if 1.01-3lbs, and $1.50 for 3.01-10lbs. (check current rates)
  14. Save Shipping Rates: Click the Save Shipping Rates to save your Table Rates.

For accurate and profitable USPS rates for products with varying weights (like jewelry vs. a heavy piece of pottery), you must use the Table Rate Shipping.

This setup gives every Jemez Village vendor the flexibility they need to sell competitively and accurately, which is essential for maximizing sales!
